This Privacy Policy describes how Voomer LLC ("Voomer," "we," "us," or "our") collects, uses, processes, stores, shares, and protects information when you use Voomer® and any of its related products, services, websites, and applications, including but not limited to https://www.tryvoomer.com, https://app.tryvoomer.com, https://vibecheck.tryvoomer.com, and any other domains or subdomains operated by Voomer LLC (collectively, the "Platform").

By accessing or using the Platform, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree, you must discontinue use of the Platform immediately.

The categories, examples, and lists of data, third-party services, and processing activities described throughout this Privacy Policy are illustrative and may not be exhaustive. We may collect, use, and share additional information not specifically enumerated herein in connection with the operation and improvement of the Platform.

1. Information We Collect

We collect information broadly across several categories. The depth and scope of data collection reflects the nature of our service: providing AI-powered analysis and coaching for video interview performance. We collect information you provide directly, information generated through your use of the Platform, and information obtained from third-party sources.

1.1 Account and Identity Information

When you create an account or interact with the Platform, we may collect information that includes, but may not be limited to:

  • Full name, email address, and account credentials
  • Authentication tokens, session identifiers, and account recovery information
  • Profile information you choose to provide
  • Unique user identifiers linked across our authentication systems

1.2 Video, Audio, and Media Recordings

The core function of the Platform involves recording and analyzing your video interview practice sessions. When you use the recording features, we collect information that includes, but may not be limited to:

  • Raw video and audio recordings captured through your device's camera and microphone via browser-based media capture technologies (WebRTC, RecordRTC)
  • Converted and processed versions of your recordings in multiple formats and resolutions
  • Thumbnail images and representative frames extracted from your recordings
  • Metadata associated with each recording, including timestamps, duration, file size, and encoding parameters

1.3 Biometric and Physiological Data

To provide performance feedback, the Platform processes your recordings using computer vision and audio analysis technologies. This processing generates biometric and physiological data, including but not limited to:

  • Facial landmark detection: Mapping of facial features, expressions, and movements using machine learning models
  • Eye contact and gaze tracking: Measurement of where you look during recordings, including percentage of time spent looking at the camera versus elsewhere
  • Head pose estimation: Analysis of head position, angle, and movement patterns throughout your recording
  • Hand and body tracking: Detection and analysis of hand gestures and body posture during recordings
  • Vocal analysis: Measurement of speaking pace (words per minute), vocal tone, pitch variations, volume levels, and speech cadence
  • Pause and silence detection: Identification and measurement of pauses, hesitations, and silence intervals in your speech
  • Emotion recognition: Classification of perceived emotional states based on facial expressions, vocal patterns, and linguistic content

1.4 Speech and Language Data

Your spoken content is transcribed and analyzed in depth. We collect and process data that includes, but may not be limited to:

  • Full text transcriptions of your spoken responses, generated by third-party speech-to-text services
  • Filler word detection and frequency analysis (e.g., "um," "uh," "like," "you know")
  • Weak language and hedge word identification
  • Sentence-level confidence scoring and content relevance analysis
  • Keyword and topic extraction from your responses
  • Sentiment analysis of your spoken content
  • Speaker diarization and speaker label data
  • Structural analysis of your answers (e.g., adherence to STAR method frameworks)
  • Entity detection and categorization within your speech

1.5 AI-Generated Analysis and Annotations

Your transcripts and recordings are processed by artificial intelligence systems, including large language models, to generate outputs that include, but may not be limited to:

  • Structured annotations highlighting key moments in your responses
  • Coaching feedback and improvement recommendations
  • Answer quality and relevance scoring
  • Comparative analysis against aggregate population data
  • Follow-up questions and suggested practice areas

1.6 Device and Technical Information

We automatically collect information about your device and how you access the Platform that includes, but may not be limited to:

  • Device type, operating system, browser type and version, screen resolution, and hardware capabilities
  • IP address, approximate geolocation, and network information
  • Device identifiers and fingerprinting data used for fraud prevention and usage tracking
  • Camera and microphone hardware information and capability detection
  • Browser feature support and media codec compatibility

1.7 Usage and Behavioral Data

We collect detailed information about how you interact with the Platform that includes, but may not be limited to:

  • Pages visited, features used, buttons clicked, and navigation patterns
  • Recording session history, including number of attempts, retakes, and completion rates
  • Search queries within question banks and content discovery patterns
  • Time spent on various sections and features of the Platform
  • Interaction with coaching feedback and analysis results
  • Text copied from the Platform
  • Referral sources, landing pages, and campaign attribution data
  • Session recordings and screen captures for error diagnosis (sampled)

1.8 Payment and Transaction Information

When you make purchases on the Platform, we collect information that includes, but may not be limited to:

  • Billing information processed through our payment provider, including email address and transaction history
  • Purchase history, token balances, and subscription status
  • Checkout behavior, including cart abandonment data

We do not directly store credit card numbers or full payment card details. Payment card data is handled by our third-party payment processor (Stripe, Inc.).

1.9 Communications Data

We collect information related to our communications with you that includes, but may not be limited to:

  • Email addresses and communication preferences
  • Email delivery status, including opens, bounces, and suppressions
  • Responses to surveys, feedback requests, or support inquiries

2. How We Collect Information

2.1 Directly From You

When you visit our Platform, create an account, record practice sessions, make purchases, or contact us.

2.2 Automatically Through the Platform

Through cookies, pixels, local storage, analytics tools, and other tracking technologies embedded in the Platform. Our analytics systems are configured to automatically capture user interactions, including click events, page views, and form submissions.

2.3 Through Automated Processing

Your video and audio recordings are processed through automated pipelines involving multiple AI and machine learning systems. These pipelines run across containerized cloud environments and may involve sequential processing by multiple models and services to generate the comprehensive analysis delivered to you.

2.4 From Third-Party Sources

We may receive information about you from authentication providers, payment processors, analytics platforms, and advertising networks that interact with the Platform.

3. How We Use Your Information

We use the information we collect for purposes that include, but may not be limited to:

  • Service delivery: To provide, maintain, and improve the Platform, including recording, analyzing, and delivering feedback on your practice sessions
  • AI analysis and coaching: To process your recordings through our analysis pipeline and generate personalized coaching insights, scores, and recommendations
  • Comparative analytics: To compare your performance metrics against aggregate population data, including company-specific and global candidate benchmarks
  • Product improvement: To understand how the Platform is used, identify areas for improvement, and develop new features
  • Error diagnosis: To identify, diagnose, and resolve technical issues, including through session replay and performance monitoring tools
  • Fraud prevention: To detect and prevent abuse, unauthorized access, and multi-account exploitation through device tracking and behavioral analysis
  • Marketing and advertising: To deliver targeted advertisements, measure campaign effectiveness, build custom and lookalike audiences, and optimize our advertising spend across platforms
  • Communications: To send transactional emails, re-engagement campaigns, checkout recovery messages, and product updates
  • Payment processing: To process transactions, manage subscriptions, and handle billing inquiries
  • Aggregate research: To generate anonymized, aggregate statistics about candidate performance for use in our marketing materials, blog content, and public-facing analytics tools

5. Cookies and Tracking Technologies

The Platform uses cookies, pixels, local storage, and similar technologies to collect and store information. These include, but may not be limited to:

  • Essential cookies: Required for authentication, session management, and core Platform functionality
  • Analytics cookies: Used by PostHog, Google Analytics, and Vercel Analytics to understand usage patterns and measure performance
  • Advertising cookies and pixels: Placed by Google Ads and Meta (Facebook) to track conversions, build remarketing audiences, and optimize ad delivery
  • Local storage: Used to persist authentication tokens, theme preferences, device tracking data, and usage counters on your device

Some tracking technologies on the Platform operate automatically upon page load. You may manage cookie preferences through your browser settings, though doing so may affect Platform functionality.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide services, comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention periods include, but may not be limited to:

  • Account data is retained for the lifetime of your account and for a reasonable period following account deletion
  • Video and audio recordings are retained for the purpose of delivering and improving services
  • Analysis results, transcripts, and coaching data are retained indefinitely to support comparative analytics and service improvement
  • Aggregate and anonymized data derived from your recordings may be retained indefinitely and used in population-level analytics
  • Cached data in temporary storage systems is subject to time-to-live policies and is automatically purged
  • Advertising audience data is maintained for up to 90 days on third-party platforms in accordance with their respective policies

We use commercially reasonable efforts to protect your information through administrative, technical, and physical safeguards. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security of your data.

8. Your Rights and Choices

Depending on your jurisdiction, you may have certain rights regarding your personal information, including but not limited to:

  • The right to access the personal information we hold about you
  • The right to request correction of inaccurate information
  • The right to request deletion of your personal information, subject to legal and operational requirements
  • The right to object to or restrict certain processing activities
  • The right to data portability where technically feasible
  • The right to opt out of marketing communications
  • The right to opt out of the sale or sharing of personal information for targeted advertising purposes

9. International Data Transfers

Your information may be transferred to, stored in, and processed in countries other than your country of residence, including the United States. Our third-party service providers operate globally, and your data may be processed in any country where our providers maintain infrastructure. By using the Platform, you consent to the transfer of your information to countries that may have different data protection laws than your jurisdiction.

10. Children's Privacy

The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, please contact us immediately at support@tryvoomer.com and we will use commercially reasonable efforts to delete such information.

11. Biometric Data Notice

The Platform collects and processes biometric data as described in Section 1.3, including facial geometry, eye tracking patterns, and vocal characteristics. This data is collected for the purpose of providing interview performance analysis and coaching feedback. By using the recording and analysis features of the Platform, you consent to the collection and processing of this biometric data. If you reside in a jurisdiction with specific biometric privacy requirements (including but not limited to Illinois, Texas, or Washington), this notice serves as the required disclosure of our biometric data practices.

Biometric data is retained for the duration described in Section 6. We do not intentionally sell, lease, or trade biometric data to unaffiliated third parties, though such data may be transmitted to service providers as necessary to deliver the services described in this Privacy Policy (e.g., AI processing providers for analysis).

12. Aggregate and De-Identified Data

We generate aggregate and de-identified data from user recordings and analysis results. This data includes population- level performance statistics such as average eye contact percentages, speaking pace distributions, filler word frequencies, and emotional state distributions across our user base. This aggregate data is used for product improvement, marketing, public-facing analytics tools, and research purposes. Because this data does not identify individual users, it is not subject to the same restrictions as personal information.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make material changes, we will update the "Last updated" date at the top of this page. Your continued use of the Platform following any changes constitutes your acceptance of the revised Privacy Policy.
